Privacy Policy
Effective 2026-10-14
This policy explains what personal information Stonefield Capital Inc. and Stonefield Mortgage Administration Inc. (together, "Stonefield", "we") collect, why, how we protect it, and the choices you have. It applies to this website and to the inquiries, submissions and mortgage files that come through it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the rules of the Financial Services Regulatory Authority of Ontario (FSRA).
What we collect, and when
- When you ask us to call you back
- Your first name, phone number and email, the property's street address and city, the amount you are looking for, how you heard about us, and, if you add them, the property type and a short description of your situation.
- When a broker or borrower submits a deal
- The information on the submission form: the borrower's and broker's names and contact details, the property, the loan requested, the exit plan, and the documents attached. Submissions are made on a form hosted by our loan-management provider; its page tells you who it is.
- When you ask for a second opinion or a commitment review
- Your first name, phone number and email, the property's city and your estimate of its value, and the mortgage documents you choose to upload: a commitment letter, cost-of-borrowing disclosure, mortgage statement or closing statement. See the section on automated document review below.
- When you book a presentation, request investor information or subscribe
- Your name, email, phone and brokerage or role, and for investors your declaration of accredited-investor status.
- When you browse
- Standard web-server logs, the page you arrived on and the page a form sat on, the referring site, and campaign tags in links you clicked. Our own pages count readers and form starts without identifying you. We use a web-analytics service and a chat widget; both set cookies described below.
Why we collect it
- To respond to you
- To call back, answer a question, review a document, or book a presentation.
- To arrange and administer mortgages
- To assess a file, issue a commitment, fund and administer a mortgage, and meet the record-keeping rules that apply to a licensed brokerage and administrator.
- To send what you asked for
- The broker newsletter and rate sheet go only to people who subscribed or who have an existing business relationship with us, with an unsubscribe link in every message, as Canada's anti-spam law requires.
- To understand what works
- To see which pages, campaigns and sources bring inquiries, using counts and categories rather than individual profiles.
Automated document review (second opinion and commitment review)
If you upload mortgage documents for a second opinion, an automated system reads them to pull out the loan terms: the amount, interest rate, fees, term, prepayment and renewal terms, and any default charges. The system uses an artificial-intelligence model supplied by a third-party provider in the United States. The provider does not use your documents to train its models and keeps them only for a short period for security monitoring. The extracted terms produce the breakdown you see on screen, which you can correct, and a licensed mortgage broker approved by Stonefield reviews the same terms before contacting you.
We only do this after you tick a consent box that says so. Uploaded documents are stored in Canada and deleted 90 days after upload unless you go on to work with us on a mortgage, in which case they become part of that file. Please do not upload government identification or bank statements for a review; we delete them on sight. You can withdraw this consent at any time (see Your choices), and we will delete your uploaded documents within five business days.
The breakdown is arithmetic on the terms in your documents and a comparison to Stonefield's published pricing. It is not legal, tax or financial advice, not a commitment to lend, and not a finding about any other lender.
Who sees your information
Stonefield staff who need it to do their job, and the Stonefield-approved mortgage broker assigned to your inquiry. We do not sell personal information and we do not share it with other lenders.
Service providers process information on our behalf under contract and only for our purposes: our database and file storage (in Canada), our website host, our loan-management provider (in Canada), our email provider, our web-analytics and chat providers, and, for document reviews, our AI provider. Some of these providers are in the United States, which means your information may be subject to the laws of that country while it is there.
We disclose information when the law requires it, for example to FSRA, a court, or a regulator, and to lawyers, appraisers and other parties needed to close a mortgage you have asked us to arrange.
How long we keep it
- Inquiries that do not become a file
- Up to two years from the last contact, then deleted or anonymised.
- Documents uploaded for a review
- 90 days from upload, unless they become part of a mortgage file.
- Mortgage files
- For the period FSRA and tax law require after the mortgage is discharged.
- Newsletter consent and unsubscribe records
- For as long as the law requires us to prove consent or an opt-out.
How we protect it
Records are stored in Canada in access-controlled systems. Sensitive identifiers are encrypted at rest. Access is limited to staff and brokers who need it. Notification emails carry the minimum needed to act (a first name, a phone number, an amount range, a property address) and never the contents of your documents or your situation. We review access regularly. No system is perfectly secure; if a breach creates a real risk of significant harm, we will notify you and the Privacy Commissioner as the law requires.
Your choices and rights
- Access and correction
- You can ask what personal information we hold about you and ask us to correct it. We answer within 30 days.
- Withdraw consent
- You can withdraw consent at any time, subject to legal and contractual limits (for example, we must keep records of a mortgage we arranged). Email privacy@stonefieldcapital.ca.
- Unsubscribe
- Every newsletter carries an unsubscribe link and a link to choose topics. Opting out takes effect within 10 business days, usually immediately.
- Complaints
- Write to our Privacy Officer at privacy@stonefieldcapital.ca or 4-60 Granton Drive, Richmond Hill, ON L4B 2N6. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca). Concerns about our conduct as a licensed brokerage can go to FSRA; our complaints process is at stonefieldcapital.ca/complaints.
Changes to this policy
We update this page when our practices change and show the effective date at the top. Material changes to how we use information already collected will be announced on this page before they take effect.
